Administrative Assistant
Position Objective/Summary:
Performs all administrative and clerical support to the Sales & Dealer Services departments. Responsible to perform related functions to ensure all the departments operations flow smoothly. Position is responsible to create and maintain various documents, databases, and reports.
Essential Functions:
- Provide clerical & administrative support to the assigned departments as needed to include but not limited to correspondences, mail merges, presentations, mass mailings, reports and special projects
- Process regular monthly mailings to dealers
- Create and maintain monthly measurement reports and charts
- Assist in creating and maintaining dealer profiles
- Order new dealership materials as needed (i.e. decals, literature, hats etc)
- Maintain various databases related to but not limited to dealerships, promotional pay bonuses, dealer bonus payouts, dealer discounts, dealer directory and dealer distribution lists
- Responsible to maintain dealer directory
- Coordinate and participate in the planning, and execution of various meetings, conferences and events
- Responsible for various presentations and reports as requested
- Distribute and route departmental mail (internal & external)
- Assist Tech Publications with Parts Pro authorization requests and CD-ROM shipping
- Provide Back up support to Receptionist area and Legal assistant as needed
- Provide administrative support for sales employees on dealer related requests (price pages, CD’s forms etc.)
- Process dealer discounts, adjustments, and truck promotional pay bonuses
- Coordinate and set up lunches for onsite meetings as needed
- Filing as needed
- Performs other related duties as required.
Basic Qualifications:
- High School graduate with minimum of three years of administrative support in a fast paced environment
- Excellent Customer Service skills.
- Strong interpersonal skills
- Ability to maintain professional attitude in dealing with a variety of people.
- Ability to handle confidential information.
- Highly organized, strong time management with the ability to prioritize.
- Ability to work on many projects simultaneously without supervision. Self-motivated, assertive, and proactive attitude.
- Strong computer skills including Access, PowerPoint and Excel
- The ability to complete a high volume of work while maintaining exceptional quality and attention to detail
